Process for Approval of School-Sponsored UMass Chan Student Activities during COVID-19 Pandemic

Dear students,

We hope this message finds you healthy and well! The Office of Student Life (OSL) wanted to provide updated information about student organization event guidelines. These updated guidelines have been developed in light of the recent announcement about the University of Massachusetts Chan Medical School (UMass Chan) updating its COVID-19 safety protocols and are effective immediately.

 Guidelines for All Student Events:

  1. All student organizations must submit an Event Registration Form at least 2 weeks prior to any and all planned student organization events. All student organization events must be approved by OSL prior to the event taking place.
  2. It is strongly encouraged all student organization event attendees be fully vaccinated (14 days or more after one dose of Johnson and Johnson or second dose of Pfizer or Moderna mRNA vaccine).
  3. Mask wearing is required for all employees, students, and visitors while inside all Medical School buildings. 
  4. Non-UMass Chan individuals are permitted to attend on-campus student events provided they are vaccinated and registered in the SV3 visitor management system.
  5. Non-UMass Chan individuals are permitted to attend off-campus student organization events without being registered in advance or providing proof of vaccination.
  6. Any non-UMass Chan individuals who are not vaccinated are required to wear a mask at all times while attending a student organization event.
  7. Students who test positive for COVID-19 or develop symptoms should stay home, isolate, and contact Student Health Services (SHS) at 508-334-2818. Students should remain in isolation and not attend student organization events until cleared by SHS.
  8. Anyone who has had close COVID-19 contact in the 10 days prior to the student event (less than 6 feet for 15 minutes over 24 hours without a mask on) should only attend a student event if they are asymptomatic and wearing a mask at all times.
  9. Food and drink are permitted at all student organization events. If a student organization wants to contract with a third-party vendor to have alcohol served at a student organization event, they must also submit the alcohol beverage form to OSL.
  10. On-campus student organization events may have an attendance equal to the maximum capacity of a space as designated by the fire marshal. While not required, social distancing is recommended, especially if masks will not be worn during the student organization event.
  11. To maximize safety, when possible, it is recommended student organization events be held at an outdoor venue, that tables be spaced, and that pre- and post-event COVID-19 testing of all attendees be conducted. Students can inquire with their respective schools about the feasibility of obtaining a rapid antigen test, however, supplies may be unavailable or extremely limited.

Use of Funding:
Students should use the same funding request process as normal (this is school-specific; please consult your school’s student leadership body for this information.) Students can download the tax exemption certificate to ensure that their purchase is tax-free as the University is not able to reimburse tax.
