Basic File

The Basic File is the compilation of all materials relevant to the evaluation of a candidate for appointment or promotion. The Basic File consists of the following components:

Materials provided by a candidate for appointment:

  • The candidate’s current curriculum vitae in the UMMS format; see here for more information.

Materials provided by a candidate for promotion:

  • The candidate’s current Curriculum Vitae in the UMMS format; see here for more information.
  • Evidence of educational effectiveness; see here for more information.
  • An optional Narrative Statement that describes the candidate’s academic activities, achievements and scholarship in the context of their overall role and goals as a faculty member; see here for more information.

Materials are added to the candidate’s Basic File through the procedures for appointment and promotion:

  • Letters of Evaluation; see here for more information.
  • Written recommendation by the Departmental Personnel Action Committee (DPAC) for candidates in the School of Medicine.
  • Written recommendation by the chair of the candidate’s primary department for candidates in the School of Medicine.
  • Written recommendations by other chairs, deans, or directors of non-department units, as applicable, for candidates who have multiple appointments or positions.

The materials added to the candidate’s Basic File, including the identity of letter writers, are considered confidential, are only used in the review of the candidate for appointment or promotion, and must not be communicated to the candidate.
