Visitor and Vendor COVID Response

Pursuant to Governor Baker’s orders, the Commonwealth of Massachusetts is now in a phased re-opening process as a result of the novel coronavirus (COVID-19).  

The health, safety, and well-being of our UMass Medical School (UMMS) employees, students, customers, and vendors are our daily focus as we plan a safe and gradual return to research and academic programs. 

UMCMS is continuously updating our best practices and adopting new guidance from appropriate governmental and health agencies and officials, including, implementing a universal mask policy, social distancing, self-health-monitoring, and visitor restrictions.  We, of course, expect that our vendors and visitors are taking all appropriate measures as well. 

To be clear, UMCMS is relying on our vendors and visitors to do everything possible to mitigate the spread of the coronavirus while helping to ensure the continued supply of essential goods and services to the campus. All vendor and visitors are required to provide a review and signed the letter of attestation to campus polices prior to entry to campus, linked below, and vendors must also supply their company’s COVID-19 safety plans to their UMMS host prior to entry to the campus

Vendor Attestation and COVID Safety Plan registry

In an effort to minimize duplications of efforts, a registry of Vendor/Visitor COVID attestation letters and safety plans has been created. UMCMS employee hosts should be sure to upload new Vendor/Visitor COVID attestation letters and safety plans here. Simply click +NEW and complete the form for upload to the registry. If a Vendor/Visitor COVID attestation letters and safety plan exists in the registry the UMCMS host should review the letter and safety plan to ensure it remains relevant and complete, but if sufficient do not need to request additional documentations from the Vendor/Visitor. 

Visitor and Vendor Registration

Effective July 20, 2020 UMass Medical School implemented a visitor management program which requires all visitors to the medical school—credentialed and uncredentialed vendors, guests, job candidates and prospective students—to be registered in advance of their visit by a UMMS host.

The new visitor management process also includes a daily health survey for all visitors to campus. Approximately 90 minutes before the scheduled visit the visitor will receive and email with a link to complete the survey, upon completion they will receive an email with a QR code which will allow them to proceed with registration on campus. 

Upon arrival to campus visitors will be greeted at designated entrances by campus safety staff who will check the registration and a photo ID. The current locations for visitor registration include Main School lobby and loading dock, and Albert Sherman Center loading dock. All visitor will receive a sticker badge which is good for the duration of that day’s visit and should always be visible. All uncredentialed visitors will always need to be escorted by their UMass Medical School host while they are onsite. All credentialed visitors may proceed to work site unescorted after completing the health survey, registration, and receiving their day badge.

Vendor Registration Managed by Campus Services

The following credentialed vendors will have scheduled visits managed by campus services. These vendors' regularly scheduled visits do not need to be scheduled in SV3 by an employee host.
